Welcome to Northumberland Coffee. These terms and conditions set out how we supply our products and services when you order from our website. Please read them carefully before placing an order.
By using our website and placing an order, you agree to these terms.

2. Using our website
You agree to use our website for lawful purposes only. You must not:
- Attempt to interfere with or damage the website or its security features.
- Use any automated system to scrape, copy, or harvest data from the site without our written permission.
- Misuse any part of the site, including attempting to gain unauthorised access to any part of our systems.
We may update, change, or remove parts of the website and these terms from time to time. The version that applies to your order is the one in place at the time you place it.
3. Our products
We sell freshly roasted coffee and coffee accessories such as brewing equipment and related items. All products are physical goods.
We try to ensure all product descriptions, images, and information are accurate and up to date. However, small variations may occur. Packaging may also differ slightly from that shown on the website.
Any brewing guides, recipes, or advice we provide are for general information only. Results may vary depending on your equipment, water, and other factors.
4. Who can buy from us
- Our online store is aimed at customers in the United Kingdom.
- We currently only ship orders within the UK.
- By placing an order, you confirm you are at least 18 years old and are using our products for personal use and not for resale, unless you have a separate wholesale agreement with us.
5. Ordering from us
When you place an order on our website, you will receive an order confirmation email. This confirms that we have received your order, not that it has been accepted.
A contract between you and Northumberland Coffee is formed when we dispatch your order and send you a dispatch confirmation email.
We reserve the right to refuse or cancel an order, for example where a product is unavailable, there has been a pricing error, or we suspect fraudulent activity. If we cancel an order after you have paid, we will issue a full refund.
6. Roast and dispatch schedule
We roast on fixed days to keep coffee as fresh as possible.
- Roast days: Monday and Wednesday.
- Dispatch days: Tuesday and Thursday.
- Order cut off time: 1 pm. Orders placed after 1 pm may be processed on the next roast and dispatch cycle.
These schedules may change during busy periods, holidays, or for operational reasons. Any changes will be reflected on the website where possible.
7. Delivery
We currently ship within the UK using Royal Mail services.
- Royal Mail 24.
- Royal Mail 48.
Delivery times are estimates only. They are provided by the courier and are not guaranteed. Once your order has been dispatched, it is in the hands of the courier.
We are not responsible for delays caused by Royal Mail or other factors outside our control, such as strikes, bad weather, or incorrect addressing. However, if your order is significantly delayed or appears lost, please contact us and we will do our best to help.
7.1 Delivery address and redelivery
Please make sure your delivery address details are complete and correct when you place your order. We cannot be held responsible for non delivery or delays resulting from incorrect or incomplete addresses provided by you.
If a parcel is returned to us due to an incorrect or incomplete address, or because it was not collected in time from a depot or sorting office, we can arrange redelivery. In these cases, you will be responsible for paying the cost of redelivery.
8. Prices, taxes, and payment
All prices shown on our website are in pounds sterling (GBP) and include VAT where applicable.
We take payment at checkout for all orders, including one off purchases and subscriptions. Your order will not be processed until payment has been successfully completed.
We accept the usual payment methods available through Shopify, such as major debit and credit cards and digital wallets. The exact options may change over time.
Your card details are processed securely by our payment provider. We do not see or store your full card details on our systems. For repeat subscription orders, your payment details are securely tokenised and managed through the Shopify and payment provider systems.
9. Subscriptions
We offer coffee subscriptions that are managed through your customer account.
- When you start a subscription, an account is created for you if you do not already have one.
- Your card is charged at the point of the initial order, and then according to the subscription schedule you select.
- You can manage your subscription by logging into your account. You can skip, pause, change, or cancel your subscription at any time, subject to any processing cut off times before a renewal is billed and dispatched.
- There is no minimum commitment period beyond any subscription cycle already processed.
It is your responsibility to update your payment details and delivery address in your account. If a payment fails, or the address is incorrect, your subscription order may be delayed or not delivered.
10. Returns and refunds
10.1 Coffee
Because coffee is a perishable product, we are unable to accept returns or offer refunds on coffee unless it is faulty, damaged, or we have made a mistake with your order.
If you believe your coffee is faulty or not as described, please contact us as soon as possible with your order number and details so we can look into it.
10.2 Accessories and equipment
For non perishable items such as accessories and brewing equipment, you have 14 days from the date of delivery to request a return if you change your mind.
- Items must be unused, in their original packaging, and in a resaleable condition.
- You will be responsible for the cost of return postage for unwanted items.
- We recommend using a tracked service and keeping proof of postage.
Once we receive and inspect the returned item, we will issue a refund to your original payment method, or provide an exchange or store credit if agreed in advance.
10.3 Faulty or damaged items
If an item arrives damaged or is faulty, please contact us promptly with photos and your order number. Where appropriate, we will offer a replacement, refund, or store credit.
We may ask you to return the faulty item or dispose of it, depending on the situation.
11. Wholesale
We offer wholesale coffee through a third party platform called Orderspace. Wholesale is subject to separate terms and conditions which are provided within that platform.
These retail terms and conditions do not apply to wholesale customers unless we expressly state otherwise.
12. Events and private hire
Event services, such as mobile coffee bars for weddings, corporate events, festivals, and other occasions, are handled separately from the online shop.
Any terms, conditions, and pricing relating to events and private hire will be agreed individually and provided to you separately as part of our event booking process.
13. Intellectual property
All content on this website is owned or licensed by Northumberland Coffee. This includes, without limitation:
- Logos and branding.
- Product names, descriptions, and copy.
- Photography, graphics, and artwork.
- Website design and layout.
You may view and print pages for your own personal use, but you may not copy, reproduce, distribute, or use any content for commercial purposes without our prior written permission.
14. Data and privacy
We collect and process personal data in order to fulfil your orders, manage your account, and provide customer support. We also use certain tools for marketing and analytics.
- Email marketing: We use Omnisend to send newsletters and marketing emails. You can opt out of marketing emails at any time by using the unsubscribe link in the email or by contacting us.
- Analytics and tracking: We may use tools such as Google Analytics and Shopify tracking to understand how our website is used and to improve our services.

15. Limitation of liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be limited or excluded under English law.
Subject to the above, our total liability to you for any claim arising out of or in connection with any order you place with us will be limited to the total amount you paid for that order.
We are not liable for any loss of profit, loss of business, business interruption, or loss of business opportunity. Our products and services are provided for personal use only, and we have no liability for any losses related to business use.
16. Events outside our control
We are not responsible for delays or failures to perform our obligations under these terms where the cause is outside our reasonable control. This includes, for example, courier delays, strikes, extreme weather, or other events that disrupt normal operations.
We will always try to keep you informed of any significant disruption and will work with you to find a reasonable solution where possible.

We may update these terms from time to time. Any changes will be posted on this page with an updated date. The terms that apply to your order are those in place at the time you placed the order.
